RDAC Homeownership Preservation Counselor position openTHIS POSITION HAS BEEN FILLED AS OF MAY 27, 2016:  RUPCO is seeking an accomplished administrative professional with at least 5 years of experience, ideally in an administrative support role in a complex organization, non-profit or for-profit, covering areas of preparing reports, clerical/reception functions including scheduling, file management, written correspondence  and receiving visitors; board relations and support, research and compilation of key housing statistics; event management & communications with staff, community stakeholders and supporters. The position will provide confidential support to the CEO and shall also provide limited support to the Director of Communications & Resource Development in the area of event management. Strong computer skills & experience with computer software applications (MSWord, Outlook, Excel, Access and PowerPoint) required. Excellent interpersonal skills with all levels of management to handle sensitive and confidential matters and the ability to interact and communicate effectively with a diverse group of colleagues and stakeholders.

Position Details & Duties: 

  • Support the CEO directly and provide limited support to the Director of Communications
  • Coordinate and oversee all aspects of the CEO’s schedule and daily itinerary by planning and scheduling meetings, conferences, teleconferences and travel
  • Research and prepare reports and materials for meetings including agendas; coordinate special arrangements for room set-up including electronic, audio visual equipment; order food and meeting supplies
  • Prepare regular board and staff communications
  • Prepare speeches and remarks including electronic communications for CEO speaking engagements
  • Serve as liaison to the board of directors, advisory council and staff executive council
  • Produce information by transcribing, formatting, editing, retrieving, copying and transmitting data, text and graphics
  • Read and analyze incoming memos, submissions, report and media to determine significance and plan their distribution
  • Prepare responses to day-to-day communications
  • Welcome guests and members of the public by greeting them in person or by telephone
  • Open, sort and distribute incoming correspondence including faxes and email
  • Take notes and dictation

Skills and Experience:

  • Excellent administrative writing/editing and effective verbal communication skills.
  • Experience in preparing reports; scheduling; Microsoft Office Skills; Organization and time management skills; Ability to multi-task; Presentation/Platform skills; Travel logistics;
  • Team player; Extreme attention to detail
  • Ability to build and maintain internal and external relationships and work in fast paced environment
  • Ability to set priorities, develop work schedules, monitor progress towards goals and track details/data/information activities
  • Sincere commitment to work collaboratively with all constituent groups, including staff, board members, volunteers, donors, program participants, and other supporters
  • Clear ability to empathize with client populations
  • High School Degree required; 2-year degree preferred; bachelor’s degree a plus
